Privacy Policy
Workfence records a workday so that a company can pay for it accurately. This policy covers the Workfence mobile app and web app: what is recorded, when, who can see it, how it is shared and secured, and how long it is kept.
Who this policy is from
Workfence is a workforce attendance service operated by Born Creative, which is responsible for this policy. Your employer — the company that added you to Workfence — decides what is collected and why; Born Creative processes it on that company's instructions. For anything in this policy, write to hello@borncreative.in.
What is recorded
Your name and the mobile number or work email your company added you with. Check-in and checkout times, and the selfie taken at each. Your position during an active shift, at the sampling interval your company sets. Breaks. Work updates, photos and voice notes you submit. Travel sessions that begin when you leave a site boundary.
When location is recorded
Only between your check-in and your checkout. Background location is requested separately, after check-in, and is never held outside an active shift. While tracking runs, a persistent notification says so on your phone, and the app's home screen shows it.
Each site chooses whether on-site movement is recorded at all. When it is off, nothing inside the boundary is recorded — only trips away from it, each as a separate segment.
Face ID
If you set up Face ID, you take three photos once, on your phone. Your check-in selfie is matched against them on that phone. The photos and the match never leave the device, and you can remove them at any time from your profile.
In group attendance, face detection finds faces in a supervisor's photo; it does not identify anyone. The supervisor reviews and confirms the list.
Who can see it
Managers of the projects you are assigned to, and your company's administrators. Each company's data is isolated from every other company's, enforced on the server. If you belong to more than one company, each sees only its own records.
How it is shared
With your employer's authorised managers and administrators, as above, and with the cloud infrastructure that hosts the service. Workfence does not sell personal data and does not share it with advertisers. Data leaves the service only when your company exports it — attendance, payroll and movement reports as CSV or PDF — or when the law requires it.
Security
Data travels between the app and the service over encrypted connections. Access is limited by role — an employee sees their own records, a manager the projects they run, an administrator their company — and each company's data is isolated from every other company's. Face ID photos and the match never leave your phone. Employees sign in with a one-time code sent to the email address or phone number their company added; the app stores no password.
How long it is kept
Retention is set by your company in its tracking policy; the product ships with a 90-day default for location points, after which they are purged automatically. Attendance records are kept for as long as the company's payroll obligations require.
Your choices
You can see your own attendance, route history and permissions in the app, and you can switch off location and camera access for the app in your phone's settings at any time — without them, check-in and tracking do not run. Requests to access, correct or delete your data go to your employer, who controls it; Workfence acts on their instruction. When your company deactivates your account, your location history is purged on its retention schedule and your face photos are removed from the phone by signing out. To have the account itself deleted, see Delete your account.
Children
Workfence is a tool for employed adults, provided through an employer. It is not directed at children and does not knowingly collect data from anyone under 18.
Changes to this policy
When this policy changes, the review date at the top changes with it, and material changes are announced in the app.
